REPORT AND PROPOSAL CO-ORDINATOR

Job Purpose
The Incumbent will monitor the timely submission of quality reports and proposals to donors. S/He will support Senior Management Team members and Technical Advisors to plan for upcoming calls for proposals and reporting deadlines. Where necessary the co-ordinator will serve as primary writer for the development of proposals and reports.

S/He will be based in Nairobi, with travel to field offices in Kenya as required.

Key accountabilities

  • Work with Grants and Finance Department to develop a reporting timeline tracker for each funding source with roles and responsibilities of the relevant staff for the development of reports clearly defined.
  • Ensure processes to remind and trigger report preparation for field and HQ staff are in place.
  • Maintain details of reporting format and requirements for all donors.
  • Ensure the appropriate Technical Advisor has reviewed the narrative and that the budget submitted correlates with the activities described in the report.
  • Working closely with the Grants Manager, You will ensure the Proposal pipeline tracker is regularly updated (minimum monthly). For each potential proposal or concept submission work with Operations and Programme Quality Departments to develop a lead and timeline for proposal development and submission.
  • Work with Operations and Finance Departments to review the programme tracker and identify upcoming funding gaps in good time.
  • Work with Technical Advisors (TA) and the Programme Quality Manager (PQM) to identify proposals and concepts required from thematic plans. Ensure that at least one ‘off-the-shelf’ proposal is ready for submission from each thematic area at any time.
  • Gather information from TA’s and other relevant team members, assessment teams and sitreps and other relevant sources necessary for drafting proposals. Ensure all other background financial and administrative information is updated to support proposal submission.
  • In conjunction with the Operations Director and Emergency Manager ensure standard emergency proposals are in place as part of the Emergency Preparedness Planning process – both within and outside of SC current operating areas.
  • Create and maintain a list of existing and potential donors, contacts and their specific funding strategies, sectoral preferences and deadlines for proposal submissions.
  • Track the timely preparation of all proposals in the pipeline and ensure “quality control” checks on all submissions to ensure appropriate consultation as per Programme Management Guidelines.
  • Support Grants manager in the negotiation of project commencement and conclusion, budget and payment schedule, reporting dates and requirements with donor or Save the Children member.

Person Specification

  • Demonstrated experience of writing winning proposals for different key institutional donors and Save the Children Members.
  • Demonstrated experience of reporting and proposal development in the Save the Children’s global areas: Child protection, Health & Nutrition and food Security & livelihoods.
  • Understanding of donor compliance and key SC reporting procedures.
  • Good negotiation, communication, decision-making and interpersonal skills and ability to work as part of a team.
  • Good interpersonal, reporting writing, organisational skills, time management and ability to meet deadlines and work under pressure
  • Budgeting experience
  • Training in key donor reporting rules and regulations e.g. ECHO, EC, DFID, OFDA
  • Fluent in Somali and Kiswahili
