The International Rescue Committee (IRC) in Kenya serves vulnerable populations in the Turkana and Garissa regions as well as in Eastleigh, Nairobi. The IRC implements programs in the areas of comprehensive primary health care, nutrition, protection, peace building, water and sanitation and hygiene (WASH), HIV/AIDS prevention, response to gender based violence, disaster risk reduction (DRR), livelihoods and governance.

Description
The Administrative Assistant is responsible for assisting the HR & Administration Department in the management of operations issues. Specific responsibilities include:
- Assist the HR & Admin department in the administration of IRC benefits
- Ensure that staff accurately fill in the bank advice form and that it is submitted to the Admin Manager for inclusion in the payroll within the fifth day of staff’s employment.
- Ensure enrollment of new staff into IRC benefits scheme, train staff on how to fill insurance forms and ensure that the forms are dully filled and forwarded to the Insurance Company within the fifth day of staff’s employment.
- Track staff enrollment in the scheme and ensure that all GPA, and GL invoices are paid on time.
- Liaising with Government of Kenya Immigration Office to process work permits for international staff.
- Assist in tracking the status of work permits.
- Print and distribute staff monthly payslips
- Coordinate the acquisition of work permits for international staff. Ensure all international staff has proper work documentation keeping track of expiry, and advise HR Manager of renewals on timely basis.
- Ensure timely payment of all expenses originating from the HR/Admin office.
- Maintain filing system for administration files.
- Maintain orientation package and facilitate orientation of new staff on specific aspects of administration.
- Provide coverage for HR Admin Assistant in their absence. .
- Other duties as assigned
Qualifications:
- Diploma in Secretarial Studies or Business Administration
- At least 2 years work experience in administration, including front office activities, preferably in NGO environment.
- Excellent computer skills in word processing, spreadsheets, databases and email applications
- Knowledge of basic book keeping skills
- Excellent communication skills
- Excellent writing and organization skills
- Excellent computer skills
Kenyan nationals are encouraged to apply. International allowances are not available for this position. Salary and employee benefits are compliant to the Kenyan NGO Sector.
