The International Rescue Committee (IRC) in Kenya serves vulnerable populations in the Turkana and Garissa regions as well as in Eastleigh, Nairobi. The IRC implements programs in the areas of comprehensive primary health care, nutrition, protection, peace building, water and sanitation and hygiene (WASH), HIV/AIDS prevention, response to gender based violence, disaster risk reduction (DRR), livelihoods and governance.

TRANSPORT OFFICER

Description
The transport officer is responsible for all aspects of Travel and Transport support at IRC’s Kenyan Mission. This covers office movements, Fleet, travel and accommodation arrangements.

Key Responsibilities

  • Coordinate all travel and accommodation arrangements for IRC Kenya staff and visitors, ensuring full documentation.
  • Ensure timely payment of travel invoices on monthly basis.
  • Arrange accommodations.
  • Coordinate the acquisition of work permits for international staff. Ensure all international staff has proper work documentation keeping track of expiry, and advise HR Manager of renewals on timely basis.
  • Ensure visas and other travel documents for international staff are valid at all times by liaising with admin/HR
  • Maintain filing system for all travel documents.
  • Liaise with external flight companies including ECHO/UNHAS/540/ALS etc and keep contact for booking arrangements.
  • Maintain orientation package and facilitate orientation of new staff.
  • Staff supervision providing regular feedback.

Vehicle management

  • Drive vehicles while on road test or under normal operations as assigned by your supervisor.
  • Adhering strictly to the IRC’s vehicle policies and procedures and other IRC policies.
  • Daily and pre-long distance vehicle checks including undertake a daily check – nuts & bolts, fuel, oil, brake fluid, hydraulic fluid, jack, spare wheel, spanner, communications equipment
  • Accurate upkeep of the vehicle’s log sheet
  • Keeping the vehicle clean, mechanically maintained and ensure that the vehicle is timely refueled to avoid inconveniences
  • Checking and maintaining all vehicle accessories and advise the supervisor of any defects or problems
  • Report immediately any vehicle problem/defects to the Logistics Manager.
  • Report daily to the Logistics manager for briefings on the day’s duty and feedback as necessary.

Key Result Areas:

  • Provision of effective and efficient Transport and travel and fleet support services.
  • Implementation of IRC policies and procedures.
  • Day-to-day efficient operations of the Transport and travel and fleet department.

Qualifications and experience

  • Knowledge of generic transport procedures and practices (NGO experience advantageous).
  • Experience in using HF/VHF Radio
  • Good mechanical background with Diploma in relevant field
  • Familiar with urban and rural routes.
  • Valid driving license.
  • Pass score on IRC driving test.
  • Flexibility and willingness to work long hours if necessary.
  • Strong sense of personal integrity.
  • Attention to detail.
  • Ability to organize and prioritize work.
  • Ability to multi task
  • Supervisory skills
  • Written and spoken English.

Required Experience & Competencies

  • Demonstrated ability to perform wide range of inter-related complex administrative services.
  • Excellent communication skills.
  • High level of personal initiative, pro-active problem solving and analytical skills.
  • Ability to work with minimum supervision.
  • Ability to supervise and train support staff.
  • Knowledge of immigration and travel procedures.
