KRDP/ASAL DM is a 4-year project funded by the European Union (EU) under the 10th European Development Fund (EDF10) and implemented through direct decentralised operation under the Ministry of State for the Development of Northern Kenya and other Arid Lands with the purpose of strengthening institutional capacity to manage droughts and improve food security and livelihoods in arid and semi-arid areas (ASALs).

Applications are invited from qualified and experienced Kenya citizens for the following positions:

ADMINISTRATIVE AND PROCUREMENT ASSISTANT (Ref. No. KRDP/APA) (1 position)

Duties and Responsibilities
Reporting to Finance and Administration Officer (FAO), the Administrative and Procurement Assistant will undertake the following duties:

  • Assist FAO in the preparation of quotation requests and tender documents for procurement of goods and services.
  • Assist FAO in evaluation of quotations and tenders.
  • Preparation of service and purchase orders/contracts.
  • Preparation of VAT exemption forms for procured goods and services.
  • Preparation of payment vouchers and writing and issuing out cheques.
  • Recording financial transactions in the project’s computerised accounting system.
  • Filling and storage of the project’s accounting documents, procurement documents and office correspondence.
  • Monitoring and/ or checking the financial reports for funds disbursed /advanced to district /county offices.
  • Processing travel advances for staff.
  • Handling the project’s daily cash transactions and maintaining petty cash imprest.
  • Maintenance and control of bank account balances on a daily basis.
  • Preparation of monthly bank reconciliation statements.
  • Maintenance of fixed assets register.
  • Handling insurance matters, renewals and updates.
  • Handling any other duties or responsibilities as may be assigned from time to time.

Qualifications and Experience

  • A Bachelors Degree in a business related field and/or diploma in supplies & purchasing management or procurement.
  • CPA Part II
  • Practical experience in procurement and finance duties.
  • At least 3 years relevant experience.
  • Experience in QuickBooks accounting software. Knowledge of EDF financial and procurement procedures will be an added advantage.
