The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the UN Environment Programme (UNEP) and UN Human Settlements Programme (UN-HABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org).
Responsibilities
Under the general supervision of the Chief, Recruitment and Planning Section and the direct supervision of the Human Resources Officer, the incumbent will be responsible for the following tasks.
- Performs a wide range of Human Resources support and administrative functions.
- Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
- Proofreads documents and edits texts, specifically vacancy announcements, for accuracy, grammar, punctuation and style, and for adherence to established standards for format. ; handles arrangement for translation as necessary.
- Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
- Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
- Generates a variety of standard statistical and other reports, work orders, etc., using various databases.
- Screens phone calls and written inquiries; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling.
- Reviews, records, distributes and/or processes incoming recruitment requests; follows-up on impending actions.
- Maintains files (both paper and electronic) and databases for work unit.
- Assists in providing basic Inspira software support to clients.
- Performs other related duties as assigned.

Qualifications:
Education:
High school diploma or equivalent.
Experience:
At least 4 years experience in general office support or related area, of which one or more years handling Human Resource matters is required.
Language:
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
